At-a-Glance: What You Need to Know

  • We’ll always do our best to be fair, helpful, and transparent.

What You’re Hiring Us For

Let’s keep it simple: You’re hiring us to bring your website or large-scale project to life, based on the plan we outline in a document called a Proposal of Services. Each project gets its own write-up, and these terms apply to all of them.

Payment Terms

We keep the payment structure clear so you always know what’s coming. Here’s how it works:

  • 50% upfront – to lock in your spot and begin the project
  • 40% when we deliver your first full draft – the structure and key pages are built, even if some content is still in placeholder form
  • 10% before launch – plus any additional changes you’ve approved

Your project must be paid in full (including any extras) before we can go live.

Changes and Add-Ons

Need to add something? No problem.

We’ll quote any new request separately and wait for your written go-ahead before proceeding. Additional work will be billed at our standard hourly rate or a flat fee—whichever makes the most sense for the task. These costs are usually added to your final invoice or billed separately if they extend the timeline.

Timelines and What to Expect

Most projects take four to six weeks, not including holidays. Timelines can shift based on scope, responsiveness, and our current project queue.

We’ll give your project our full attention when it reaches the top of our active queue. If we’re waiting on content or approvals, we may move forward with other clients in the meantime to keep everything flowing.

If Delays Happen

We know life gets busy. If we haven’t received needed input or feedback from you after five business days, we’ll reach out, and we may move your project to the back of our active queue.

We’ll be ready to pick things up again when you are.

Suspension and Abandonment

If your project is paused for more than 30 days without a clear reason, we may suspend it. We’ll reach out first to see how we can get things moving again. If suspension is necessary:

  • We’ll invoice for the remaining balance, which will be due immediately.
  • Reactivating the project will require payment of this balance plus a small reactivation fee.
  • Once paid, we’ll confirm timelines and resume work.

If there’s no meaningful communication for 90 days, the project may be marked as abandoned. Payments already made will be retained, as they cover time and resources already invested. Before we reach that point, we’ll make every reasonable effort to reconnect.

If you foresee any delays, just let us know—we’re happy to work with you.

Website Accessibility

We use smart, inclusive design practices—like legible fonts, accessible colour choices, and intuitive navigation. That said, unless your Proposal of Services includes explicit compliance requirements (e.g., AODA, GDPR, PHIPA), we can’t guarantee that your site will meet any specific legal standards.

If compliance is required, let us know early so we can include it in the scope.

Compatibility

Your site will be designed to work on today’s most common browsers and devices, including desktops, laptops, tablets, and phones. If you have specific requirements that need attention, we may need to add some custom configurations to your project.

We support current versions of Chrome, Safari, Firefox, and Edge. Older browsers or pre-release software are not supported unless clearly stated in the scope.

Themes, Plugins, and Updates

We may use premium WordPress themes or plugins to support your site’s design and features.

  • If you subscribe to our Website Management Services, we’ll handle licensing and updates for most tools. (This is required on GravityStack Web Hosting)
  • If you’re managing your site independently, you’ll be responsible for maintaining any required licenses.
  • We’ll always inform you of any tools that fall outside our management services.

While we choose only reputable plugins, we can’t be liable for bugs or vulnerabilities in third-party software.

After Launch Support

Your project is considered complete once your site is live. We’re always happy to help moving forwards:

Ongoing support: Any changes, updates, or training are available!

We’ll fix any bugs from the original scope.  Here are some things that fall outside the original scope:

  • Site issues after plugin or WordPress updates
  • Problems caused by third-party edits or new code
  • New features, plugins, or functionality
  • Security issues or hacks
  • Browser updates causing display issues

Your Content and Ours

Anything you give us—like images, text, or logos—must be yours to use. You’re responsible for any licensing or permissions.

We promise the content we create is either original or properly licensed. If we use any stock images that come with a cost, we’ll get your approval before purchase and include them in your final invoice.

Legal Pages & Privacy

You are responsible for providing any required legal pages, such as Privacy Policies or Terms of Use.

We’re not lawyers, and we don’t offer legal advice—but we can help you connect with Termageddon, a trusted third-party service for generating compliant legal pages.

If we include standard template content, it’s your responsibility to have it reviewed and approved by a qualified legal professional.

Domain Names and Email

You’re the owner of your domain name, and you’re responsible for keeping the billing and contact details up to date with your domain registrar.

Websites often send automated emails (e.g., contact form confirmations), but email providers sometimes filter or block these. We can’t guarantee delivery of system-generated messages—please check your spam folders regularly and consider alternate delivery methods if reliability is critical.

A Note on Attribution and Promotion

We’re proud of the work we do together. We may include a small footer credit and showcase your site in our portfolio or marketing. We may also ask you for a short testimonial or permission to use your project as a case study—always optional.

We’ve written these terms to make sure everything feels clear, fair, and low stress. If anything doesn’t make sense, just ask—we’re here to make this process smooth, professional, and results-driven.
